Key Information Summary
Thank you for participating at Big Data LDN this year. This manual contains all the information you need to help you organise your presence at the show. Here is a run down of some of the key information you may be looking for.
Here you can see the opening and closing times for both build up and show days.
Exhibitor Badges - You can order badges for all your booth staff using the exhibitor hub. The login details for this have been sent to the main stand contact. You should pick up your exhibitor badges on the day before the show to ensure your staff avoid the queues on the first morning.
Contractor Passes - If you have a space only stand your contractors are required to register in advance for access during build and break down. Please click here.
If you have a turnkey package (a stand that is built and delivered by Big Data LDN) then information regarding what is included with your stand can be found here. You will need to send graphics to GES by latest 24 AUGUST 2026 the graphic spec sheets for each of the stand packages are here. If you are unsure of which stand your company has ordered please email bigdataldn@rxglobal.com. The stand is fully fitted however should you want to order more, here are some handy links.

If you have booked a space only stand package at Big Data LDN you will need to submit your stand plans by 7 AUGUST 2026. We partner with a company called Ops Squad who deal with the space only stand plan sign–off in its entirety for the event, including all queries you may have about your stand designs. Full details can be found in the Your Stand section of this manual, also feel free to share this link with your designated stand contractor.
Waste Management (Buildup/Dismantling)
It is the responsibility of ALL space only exhibitors/contractors to remove the waste created during the build-up/dismantling phases. Waste MUST be removed by the exhibitor/contractor or waste bins MUST be ordered through the venue cleaning services and paid for. Please contact 020 7598 2510 or email cleaningservices@olympia.london to discuss your requirements. Any waste remaining onsite will be charged back to the exhibitor.
DSV Global are the official logistics and freight provider for Big Data LDN 2026. They can help organise collection and delivery to your stand and are a global company, and therefore best placed to advise and help you on this topic. Couriers: If you do decide to use your own courier company, make sure to note your exhibitor name, stand number, and note the correct address for Olympia below. Direct deliveries must not arrive at the venue before Monday 21 September - they will be returned to your local carriers’ depot. If there is no one at your stand to receive your delivery please be aware your delivery will be sent away, if you won’t be there to receive, please discuss with DSV the options they have for receiving your goods.

It has come to our attention that our customers are increasingly being targeted by companies claiming to supply exhibitor/visitor/participant lists and details relating to our events and products at a cost. Be vigilant – this data is likely fraudulent. If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

*Tuesday 22 September. To help ensure that the aisle carpet can be laid on time and the cleaning team have enough time to ensure that the show is cleaned and ready for show open it is compulsory that all empty boxes, storage crates, ladders, unused stand fitting materials, pallets etc. are removed from the aisle by 1600 on Tuesday 22 September. Any items left in the aisles after this time will be removed by DSV Solutions and a 100% surcharge will apply for the removal and storage of these items. Everyone working onsite must be made aware of this procedure.

* The Turnkey Package stands will be dismantled from 1900hrs on Thursday 24 September. All display materials and products must be removed from site BEFORE THIS TIME, as they may be damaged or lost during the dismantling of the Turnkey Package stands.
All materials, packaging and waste must be removed from the halls and stand dismantling complete by 12.00 hrs (mid-day) on Friday 25 September. Any waste or materials left for the Organisers disposal will be charged to the exhibitor/contractor.
*If you are working onsite during the build up and dismantling periods, you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest and suitable footwear (no opened toed shoes or heels).
Badges & Passes
Exhibitor Badges
Exhibitor Badges can be ordered online through the Exhibitor Hub and are available to download or print 14 days before the show. It is the responsibility of the Main Stand Holder to order and register badges for each person that will be working on the stand during the show as Exhibitor Badges are non-transferrable.
SPACE ONLY STANDS: If you require access to the halls during build-up we would ask you to register for a Contractor Badge (see section below to register for a contractor pass) as exhibitor badges will not be accepted until 1400 on Tuesday, 22 September. If accessing the halls before this time you will be required to wear hi-viz (which is not available to purchase onsite, you will need to bring your own).
TURNKEY STANDS: You are allowed to access the halls during build up from 1400-2200 on Tuesday, 22 September.
If accessing the halls during build-up or dismantling, please note: access during these periods is subject to persons wearing appropriate PPE (hi-viz jacket and closed toed shoes); see the Site Rules for further detail.
From 14:00 on Tuesday, 22 September you will not need hi-viz, but you are required to wear closed toed shoes at all times.
Contractor Registration and Site Induction
Contractor Badges - Build and Dismantling Only
Before arriving onsite, please ensure that you and your team have received, read and understood the site rules - a copy can be downloaded here.
At Big Data LDN, we now need all contractors who are coming onsite for build or dismantling to register their details and complete the site induction before they will be allowed into the exhibition halls. You will receive an email confirmation once you have completed the process which you will need to use as access into the halls for build and dismantling each day.
Before coming onsite:
1. Scan the QR code below with your mobile phone, or alternatively use this link.
2. Fill in the registration form and review the site rules.
3. Press ‘Submit’ to generate your email confirmation which is valid for build and dismantling.
4. Save the email to your phone to take onsite with you.
Onsite:
1. When you arrive onsite show your confirmation to security who will check your email and then let you in to the exhibition halls. This will be done every day you enter the exhibition halls so make sure you have your conformation easily accessible.
To avoid delays we strongly recommend you complete your registration in advance.

Please note:
- Contractor e-badges are NOT valid to gain entry to the exhibition halls during the show-open period.
- Access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE; see the Site Rules for further detail.
Sustainability
Big Data LDN is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.
RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.
With the charter in mind we have created an Exhibitor Sustainability Checklist which you can utilise in the planning of your participation at Big Data LDN.
